Welcome to Royal Ride Fleets. By booking, reserving, paying for, or using any service provided by Royal Ride Fleets, you agree to be legally bound by the following Terms & Conditions.

These Terms apply to all limousine, sprinter van, party bus, charter, executive transportation, airport transfer, wedding, nightlife, and related transportation services arranged or coordinated by Royal Ride Fleets.


1. GENERAL AGREEMENT

1.1 Acceptance of Terms

By submitting a booking request through our website, phone, email, SMS, social media, or any other communication channel, the customer agrees to these Terms & Conditions in full.

These Terms form a legally binding agreement between the customer and Royal Ride Fleets.


1.2 Service Availability

All reservations are subject to:

  • Vehicle availability
  • Driver availability
  • Operational approval
  • Weather and traffic conditions
  • Payment verification
  • Fraud screening
  • Safety considerations

Royal Ride Fleets reserves the right to refuse, cancel, or terminate service at its sole discretion for safety, operational, fraud-prevention, misconduct, or policy-related reasons.


1.3 Independent Transportation Providers

Royal Ride Fleets may coordinate services using independent transportation providers, affiliates, subcontractors, or third-party operators depending on operational requirements, availability, and service area coverage.

Such providers operate as independent contractors and are not employees of Royal Ride Fleets.


1.4 Accurate Information Requirement

The customer is solely responsible for providing accurate booking information including:

  • Pickup and drop-off locations
  • Passenger count
  • Service date and time
  • Contact information
  • Requested vehicle type
  • Event details
  • Luggage requirements

Royal Ride Fleets is not responsible for operational issues, delays, or service failures caused by inaccurate or incomplete customer information.


1.5 Electronic Communications

The customer consents to receive communications electronically including:

  • Booking confirmations
  • Invoices
  • Driver information
  • Trip updates
  • Support communications
  • Payment notifications
  • Policy updates

Communications may occur via email, SMS, phone, CRM systems, or approved digital platforms.


1.6 Electronic Signature & Digital Agreement

By submitting a booking request, the customer agrees to execute agreements electronically.

Electronic confirmations, invoices, approvals, SMS confirmations, email approvals, online checkouts, and digitally accepted agreements constitute legally binding agreements.

The customer waives any requirement for physical signatures.

Digital records maintained by Royal Ride Fleets constitute official transaction records and admissible evidence of agreement.


2. BOOKINGS, PAYMENTS & FRAUD PREVENTION

2.1 Reservation Confirmation

A reservation is NOT confirmed until ALL of the following occur:

  • Required deposit/payment is received
  • Payment is verified by Royal Ride Fleets
  • Booking details are approved
  • Fraud screening is completed when required
  • Confirmation is issued by Royal Ride Fleets

Vehicle availability is not guaranteed until official confirmation is issued.


2.2 Deposit Requirements

A minimum 50% non-refundable deposit is required to secure most reservations unless otherwise stated in writing.

Remaining balances may be due before pickup, at dispatch, or according to the booking agreement.

Failure to complete required payment may result in cancellation without refund.


2.3 Payment Verification

Royal Ride Fleets reserves the right to verify all payments before dispatching any vehicle.

The following DO NOT constitute payment confirmation:

  • Payment screenshots
  • Pending transfer notices
  • Bank notifications
  • Payment app screenshots
  • Claimed transfers
  • Email receipts not verified internally

A booking is only confirmed after funds are successfully verified by Royal Ride Fleets within its merchant or banking system.

Bookings may be delayed, placed on hold, or cancelled if payment verification cannot be completed.


2.4 Dispatch Hold Conditions

No driver or vehicle will be dispatched until:

  • Deposit/payment has been received and verified
  • Booking agreement has been accepted
  • Fraud or verification flags are resolved
  • Required identification has been provided if requested

Royal Ride Fleets is not responsible for dispatch delays caused by:

  • Slow payment processing
  • Bank delays
  • Incorrect payment submissions
  • Fraud reviews
  • Customer verification delays

2.5 Third-Party Payments

If payment is submitted by someone other than the customer of record:

  • The customer remains fully responsible for the reservation
  • The customer assumes liability for disputes and chargebacks
  • Refunds will only be issued to the original payment source
  • Royal Ride Fleets is not responsible for disputes between third-party payers and customers

Chargebacks or payment disputes involving third-party payers may result in future reservation denial, collections activity, or legal action.


2.6 Fraud Prevention & ID Verification

Royal Ride Fleets reserves the right to request:

  • Government-issued photo ID
  • Credit/debit card verification
  • Billing verification
  • Matching customer identification
  • Additional anti-fraud documentation

Failure to provide requested verification may result in cancellation without refund.

For party bus, VIP, nightlife, or alcohol-related services:

  • Valid ID may be required before dispatch or boarding
  • Customers must meet all legal age requirements
  • Underage alcohol use is strictly prohibited

Use of fraudulent identification or payment methods may result in service refusal, cancellation, permanent booking bans, or law enforcement involvement.


2.7 Chargebacks & Payment Disputes

Customers agree not to initiate fraudulent, improper, or abusive chargebacks.

If a chargeback or payment dispute is initiated:

  • Future bookings may be denied
  • Collections activity may occur
  • Legal remedies may be pursued
  • Supporting records may be submitted to payment processors, courts, banks, or law enforcement

Supporting evidence may include:

  • Signed agreements
  • Emails
  • SMS communications
  • Dispatch logs
  • GPS logs
  • Vehicle photos
  • Driver reports
  • Call recordings
  • Booking confirmations
  • Timestamped payment records

3. PASSENGER CONDUCT & SERVICE CONDITIONS

3.1 Passenger Conduct

Passengers must behave safely, lawfully, and respectfully at all times.

The following are strictly prohibited:

  • Smoking or vaping
  • Illegal drug use
  • Violence or threats
  • Harassment or assault
  • Driver interference
  • Standing through sunroofs/windows
  • Property damage
  • Unsafe conduct
  • Possession of prohibited items

Drivers may terminate service immediately if passenger behavior creates safety, legal, operational, or liability concerns.

No refunds will be issued for terminated trips.


3.2 Alcohol & Age Requirements

Alcohol consumption is permitted only where legally allowed.

Customers are solely responsible for ensuring all passengers comply with applicable alcohol laws and minimum age requirements.

Underage drinking is strictly prohibited.

Royal Ride Fleets reserves the right to terminate service immediately for alcohol or age-related violations.


3.3 Prohibited Items

Passengers may not transport:

  • Weapons
  • Firearms
  • Explosives
  • Illegal substances
  • Hazardous materials
  • Dangerous chemicals
  • Fireworks
  • Open flames
  • Illegal items prohibited by law

Violation may result in immediate trip termination without refund and possible law enforcement notification.


3.4 Driver Authority

Drivers maintain full authority regarding:

  • Passenger safety
  • Vehicle operation
  • Route decisions
  • Passenger removal
  • Service termination
  • Operational safety compliance

Passengers must comply with all reasonable driver instructions.


3.5 Overtime Policy

Overtime is subject to:

  • Vehicle availability
  • Driver availability
  • DOT/legal driving limitations
  • Operational approval

Overtime is NOT guaranteed.

Additional charges may apply for overtime beyond the original reservation duration.

If overtime payment is refused or unavailable, service may end at the scheduled completion time.


4. VEHICLES, OPERATIONS & LIABILITY

4.1 Vehicle Substitution

Royal Ride Fleets reserves the right to substitute vehicles due to:

  • Mechanical issues
  • Safety concerns
  • Fleet availability
  • Operational conflicts
  • Emergency conditions

Replacement vehicles may be:

  • Equivalent vehicles
  • Similar-category vehicles
  • Upgraded vehicles when available

If the customer accepts or boards the substitute vehicle, the substitute vehicle is deemed fully accepted.

No refunds, credits, discounts, or claims will be granted after boarding based on substitution-related complaints.


4.2 Vehicle Acceptance & Post-Service Claims

Customers may inspect the vehicle before boarding.

If the customer believes the vehicle is unacceptable, notice must be given BEFORE any passenger boards.

Once any passenger boards the vehicle:

  • The vehicle is deemed accepted
  • The service is deemed satisfactory for operational purposes
  • The customer waives claims related to:
    • Vehicle appearance
    • Vehicle age
    • Amenities
    • Configuration
    • Cleanliness
    • Vehicle category
    • Comfort preferences

Post-service complaints submitted after ride completion are not grounds for refunds, credits, discounts, or chargebacks.


4.3 Delays & Operational Interruptions

Royal Ride Fleets is not responsible for delays caused by:

  • Traffic
  • Weather
  • Road closures
  • Accidents
  • Mechanical emergencies
  • Public events
  • Police activity
  • Government restrictions
  • Force majeure events
  • Circumstances beyond reasonable operational control

Estimated pickup and arrival times are not guaranteed.


4.4 Personal Belongings & Lost Items

Royal Ride Fleets is not responsible for:

  • Lost items
  • Forgotten belongings
  • Damaged property
  • Stolen items
  • Passenger-to-passenger theft
  • Items left inside vehicles

Customers should verify all belongings before exiting the vehicle.


5. DAMAGE, CLEANING & INCIDENT LIABILITY

5.1 Customer Responsibility

The customer is financially responsible for all damage caused by passengers during service including:

  • Interior damage
  • Exterior damage
  • Burns
  • Tears
  • Broken fixtures
  • Upholstery damage
  • Spills
  • Bodily fluids
  • Excessive mess
  • Vomit-related damage
  • Odor removal
  • Biohazard cleanup

5.2 Cleaning & Incident Charges

Additional cleaning and incident fees may apply including for:

  • Vomit or bodily fluids
  • Smoke odor removal
  • Drug-related cleanup
  • Food spills
  • Excessive trash
  • Glitter or confetti
  • Biohazard remediation

Charges will be billed to the customer of record.

The customer authorizes Royal Ride Fleets to invoice and collect such charges.


5.3 Damage Documentation

Royal Ride Fleets and/or affiliated providers may photograph or video record vehicle condition before, during, and after service for:

  • Operational purposes
  • Fraud prevention
  • Damage assessment
  • Insurance documentation
  • Dispute defense
  • Legal enforcement

Customers consent to such documentation by booking or using the service.


6. CANCELLATION & REFUND POLICY

6.1 Customer Cancellations

Deposits are generally non-refundable.

Cancellations made within 72 hours of scheduled service may result in forfeiture of all payments made.

Special event bookings, nightlife bookings, prom bookings, holiday bookings, and large group reservations may be subject to stricter cancellation policies.


6.2 Same-Day Cancellations & No-Shows

Same-day cancellations, no-shows, customer abandonment, refusal to board, or service termination due to misconduct are non-refundable.


6.3 Company Cancellations

If Royal Ride Fleets cancels a reservation due to operational inability and no reasonable substitute can be provided, liability is limited to refund of payments actually received.

No additional compensation shall be owed.


6.4 Force Majeure

Royal Ride Fleets is not liable for service interruptions caused by:

  • Severe weather
  • Natural disasters
  • Public emergencies
  • Government restrictions
  • Civil unrest
  • Road shutdowns
  • Terrorism
  • Labor disruptions
  • Events beyond reasonable operational control

7. LIMITATION OF LIABILITY

7.1 Liability Cap

To the maximum extent permitted by law, Royal Ride Fleets’ total liability for any claim shall not exceed the total amount paid for the specific reservation giving rise to the claim.


7.2 Excluded Damages

Royal Ride Fleets shall not be liable for:

  • Indirect damages
  • Consequential damages
  • Emotional distress
  • Reputation-related claims
  • Social media damages
  • Lost profits
  • Lost business
  • Missed flights
  • Missed events
  • Missed reservations
  • Third-party claims
  • Personal inconvenience

7.3 Passenger Assumption of Risk

Transportation services involve inherent risks.

By using Royal Ride Fleets services, passengers voluntarily assume ordinary transportation-related risks including risks associated with vehicle travel, passenger conduct, weather conditions, and traffic conditions.


8. WEBSITE & INTELLECTUAL PROPERTY

8.1 Website Usage

Users may not:

  • Misuse the website
  • Attempt unauthorized access
  • Interfere with platform operations
  • Copy content without permission
  • Engage in fraudulent activity

8.2 Intellectual Property

All website content including:

  • Logos
  • Branding
  • Text
  • Images
  • Graphics
  • Media
  • Service materials

remain the property of Royal Ride Fleets unless otherwise stated.


9. PRIVACY

Customer information may be collected and used for:

  • Booking management
  • Fraud prevention
  • Dispatch coordination
  • Customer communication
  • Operational verification
  • Legal compliance

By using the service, customers consent to operational collection and use of necessary booking information.


10. ENTIRE AGREEMENT

These Terms & Conditions, invoices, confirmations, dispatch records, and booking agreements constitute the entire agreement between the customer and Royal Ride Fleets.

No verbal statements, informal communications, social media messages, phone conversations, or sales discussions shall override these Terms unless confirmed in writing by an authorized representative of Royal Ride Fleets.

If any provision is found unenforceable, remaining provisions shall remain in full force and effect.


11. GOVERNING LAW

These Terms & Conditions shall be governed by and interpreted under the laws of the applicable operating jurisdiction within the United States.

Any disputes shall be resolved in courts of competent jurisdiction as determined by Royal Ride Fleets.
